Assistant Administrative Executive (Officer level)
Job Description
The Role
As an Assistant Administrative Executive (Officer level), you will provide support relating to daily administrative operations, inventory, sponsorships, gifting, and event activities. You will be responsible for corporate purchases, coordinating and obtaining approvals, oversees delivery processes, and provides event and communication support to enable efficient operations. This is an excellent opportunity for a motivated individual to build transferable skillsets such as working with various stakeholders, inventory management and exposing to business operations processes and approvals within a collaborative and fast-paced environment.
Your Key Responsibilities
1) Inventory Management
- Manage and maintain the non-stock inventories.
- Update the stock list.
- Create delivery orders.
- Prepare the budget application and approval.
- Physical packing of non-stock related items for events.
2) Administrative & Operations
- Work closely with the order processing team to generate sales order processing.
- Ensure accuracy of inventory records for sponsorship events.
- Manage the delivery process of sponsorship items to events venues.
- Monitor the movement of non-stock inventory items sent out for sponsorship purposes.
- Ensure proper documentation and records related to business activities including special approvals, sponsorship calendars when required.
3) Festive gifts, non-stock and stock inventory support and management
- Manage the timeline for corporate purchases and prepare the proposals for approvals.
- Ensure accurate records of gifts inventory.
- Communicate with logistic teams to ensure timely delivery schedules.
- Liaise with relevant parties on the delivery details, payments, attendees.
4) Sponsorship Applications Process
- Prepare and ensure efficient timeline for events and sponsorship applications to facilitate management decisions.
5) Corporate festive gifting
- Managing the packaging and dispatch of promotional materials and corporate gifts for festive occasions to customers.
6) Events support
- Support monthly company-organized dinner events by coordinating and sending customer invitations, welcoming and assisting guests as reception or usher, and fostering relationships to support business development.
- Involve in division events and activities including packing of event items.
- Facilitate internal and external communications between departments.
- Any other duties as assigned.
Your Skills
- Good understanding of MS Office Applications (Words, Excel, Powerpoint, Outlook).
- Good understanding of stock management.
Your Profile
- Diploma in Business or relevant business disciplines.
- 1 to 3 years of logistics operations, administration or inventory operations experience.
- Meticulous, eye for details and strong follow-up skills.
- Good organizational and planning skills, time management, strong communication skills, teamwork, ability to prioritize the critical tasks.
- Comfortable with packing of events items at warehouse during events/when required.
- Proactive attitude.
- Eager to learn, proactive, and willing to take ownership of assigned tasks.
- Service-oriented mindset.
- Independent and also a team player.
